Privacy Policy

Effective September 30, 2026

1. Who we are

Best Tenant Match LLC ("Best Tenant Match," "we," "us") operates besttenantmatch.com, a platform that connects tenants with landlords, property managers, and leasing agents. This policy explains what information we collect, why, how long we keep it, and the choices and rights you have.

2. Information we collect

We collect information directly from you and through your use of the site:

  • Account information: email address, password (stored as a salted hash, never in plain text), and account role (tenant or landlord/agent/owner).
  • Tenant profile information: self-reported rental history, payment history, income and budget range, household size, desired location and property type, and references, if and when you choose to provide them. We do not collect your legal name, photo, or current street address as part of a tenant profile.
  • Landlord/agent information: name, business or brokerage information, coverage area, and contact details used to deliver daily tenant-signup digests.
  • Communications: messages, offers, and inquiries you send through the platform.
  • Technical information: IP address, browser type, device information, and site usage data collected automatically to secure the service and diagnose problems.
  • Income and reference documents: if you choose to upload supporting documents once that feature is available, those files are stored privately and are never publicly accessible.

Fields that are collected only if and when you affirmatively provide them (for example, uploaded documents) are never required to create or maintain a free tenant listing.

3. How we use your information

  • To operate your account and display your anonymized tenant profile to landlords, or deliver tenant-signup digests to landlords/agents.
  • To route offers, messages, and inquiries between tenants and landlords.
  • To secure accounts, detect fraud and abuse, and enforce our Terms of Service.
  • To send transactional email (account verification, password resets, offer notifications) and, for landlords/agents, daily digest email.
  • To comply with legal obligations and respond to lawful requests.

We do not sell your personal information.

4. What landlords can and cannot see

A landlord browsing tenant profiles sees anonymized, non-identifying information you've provided: rental history summary, payment record, self-reported income and budget range, and what you're looking for. Your name, photo, and current address are withheld from landlords and are only released to a specific landlord after you accept that landlord's offer. We do not display a tenant's race, color, religion, sex, national origin, familial status, or disability status, and we do not have fields for that information.

Because a combination of non-identifying details (years renting, exact budget, property type, and general location) can sometimes be enough to identify someone in a small or thin rental market, we cannot guarantee that a profile is unidentifiable in every case — only that we withhold direct identifiers until you accept an offer.

5. Cookies and similar technologies

We use strictly necessary cookies to keep you signed in and to protect your session (see Security below). We do not currently use third-party advertising or tracking cookies. If that changes, this policy and the site will be updated to provide a cookie consent choice before any non-essential cookie is set.

6. Data retention

We retain account and profile information for as long as your account is active. If you delete your account, we delete or anonymize your personal information within 30 days, except where we are required to retain certain records (for example, to comply with a legal obligation, resolve a dispute, or enforce our agreements).

7. Your rights (including California — CCPA/CPRA)

Depending on where you live, you may have the right to:

  • Know what personal information we have collected about you and why.
  • Request a copy (export) of your personal information.
  • Request deletion of your personal information.
  • Correct inaccurate personal information.
  • Opt out of the sale or sharing of personal information (we do not sell or share personal information for cross-context behavioral advertising).
  • Not be discriminated against for exercising any of these rights.

To exercise any of these rights, email support@besttenantmatch.com from the email address on your account. We will verify your identity before fulfilling a request and will respond within the time required by applicable law.

8. Security

We use industry-standard safeguards, including encrypted connections (HTTPS/TLS), hashed passwords, HttpOnly/Secure session cookies, and access controls that prevent landlords from retrieving tenant identity fields before an offer is accepted. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Children's privacy

Best Tenant Match is not directed to, and we do not knowingly collect personal information from, anyone under 18.

10. Changes to this policy

We may update this policy from time to time. We'll update the effective date above and, for material changes, provide additional notice (such as an email or a site banner).
